About the Role

This position is a key member of the administration team, responsible for ensuring smooth day-to-day operations in the healthcare practice. The Patient Service Specialist must maintain a professional, positive demeanor when interacting with patients, either in-person, over the phone, or via email.

Key Responsibilities
  • Answer calls and route telephone calls appropriately, taking messages and following through to ensure the appropriate team member receives the information.
  • Provide a high level of customer service to all new and existing patients of the practice.
  • Create patient cases and document telephone calls and messages into the electronic medical record.
  • Schedule patient appointments and arrange for necessary testing.
  • Register patients in the electronic medical record, verifying demographic and insurance information.
  • Collect required insurance co-pays from patients, including any prior balances.
  • Follow scheduling notes and direct patient visits in other healthcare practices as advised.
  • Perform pre-visit planning daily for all upcoming scheduled appointments, including running insurance eligibility.
  • Obtain prior authorizations and/or insurance referrals as needed.
  • Perform outreach to select patient groups as directed for patient care and quality measurement/guidelines.
  • Schedule specialty appointments/testing as required.
  • Perform work in electronic medical record buckets as directed and per practice need.
  • Inform the manager of administrative supply needs or assist with ordering.
  • Follow up with providers on missing slips and create claims in the electronic medical record.
  • Work assigned revenue cycle buckets as directed.
  • Work independently with minimal supervision.
  • Adhere to healthcare policies and maintain patient confidentiality.
