About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our Foster Care team at Upbring. As a key member of our team, you will provide receptionist and secretarial duties, including answering phones, filing, basic bookkeeping, and office management.

Responsibilities
  • Provide exceptional customer service to prospective foster or adoptive parents, responding to inquiries and sending information packets as needed.
  • Manage and distribute incoming mail and documents, ensuring timely and accurate processing.
  • Complete the mailing process for all outgoing mail, maintaining a high level of professionalism and attention to detail.
  • Order and manage office supplies, ensuring adequate inventory for normal and peak business needs.
  • Operate the postage machine, managing funds and ensuring efficient use.
  • Perform other duties and special projects as assigned by the team lead.
  • Communicate effectively with staff, visitors, and the public, responding to general inquiries and referring complex questions to appropriate staff members.
  • Develop and maintain a tracking system and record-keeping process for FIT inquiries, ensuring accurate and up-to-date information.
  • Maintain mailing lists for staff and provide mailing supplies, ensuring seamless communication and collaboration.
  • Assist employees with completion of forms, scanning into electronic records, auditing, distributing policies, and other forms for signature.
Requirements
  • High School diploma or GED equivalent.
  • 1 year of secretarial, receptionist, or administrative experience.
  • Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Strong customer service skills, with the ability to greet and welcome people with a professional and pleasant demeanor.
  • Ability to work independently and as part of a team, taking initiative and working with limited supervision.
  • Strong interpersonal skills, with the ability to work and interact with a diverse group of people.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills, with the ability to meet deadlines and manage multiple requests and job expectations.
