Position Overview

Role Summary:

The Administrative Support Specialist plays a crucial role in assisting the Environmental Services Director with various administrative tasks. This position also collaborates with other management personnel within the environmental services sector, undertaking special projects and assignments as required. The role is essential in promoting a culture of Service Excellence and adhering to the established standards across all customer interactions.

Key Responsibilities:

A. Provide comprehensive administrative support to the Environmental Services Director, including managing schedules and coordinating travel arrangements with minimal oversight.
B. Execute special projects and assignments to ensure an integrated approach to administrative and departmental functions, adhering to organizational policies and procedures.
C. Assist in data collection for special initiatives, creating visual presentations and reports as requested by the Director.
D. Facilitate all regular and special meetings for the Environmental Services Department, managing scheduling, agendas, minutes, and follow-up actions.
E. Maintain an ongoing tracking system for the Environmental Services Cost Center, reviewing and correcting discrepancies as necessary.
F. Organize and maintain documentation for Environmental Services Process and Structure Standards.
G. Publish a bi-annual newsletter for the Environmental Services team.
H. Plan and coordinate activities for Environmental Services Week, ensuring successful execution and follow-up.
I. Participate in cost-containment initiatives through effective resource management and supply oversight.
J. Support administrators with clerical tasks related to budgeting and invoice processing.
K. Establish and maintain an organized filing system for efficient information retrieval.
L. Answer calls and assist visitors for the Environmental Services Director, providing comprehensive support across all administrative areas.

Qualifications:

Required Education and Experience:
1. High school diploma or equivalent is required.
2. Some college education or vocational training in administrative support is preferred.
3. A minimum of 2 years of experience in an administrative role is required, with proficiency in Word and Excel.
4. Strong written and verbal communication skills are essential.

Physical and Sensory Requirements:
1. Ability to read and write in English.
2. Ability to communicate effectively with various stakeholders.
3. Capacity to remain composed under pressure.
4. Ability to respond to auditory stimuli.
5. Skills in bending, lifting, and fine motor coordination.
