The Appointment Scheduling Specialist plays a crucial role in managing patient appointments, handling incoming calls, welcoming patients, and organizing patient records for both new and returning individuals. This position involves performing front desk responsibilities to ensure accurate patient data, overseeing patient discharge tasks including the collection of co-pays, co-insurance, and deductibles from visits, as well as managing pre-registrations for outpatient procedures and surgeries. Additionally, the specialist assists with insurance verification and treatment authorization processes.

Key Responsibilities:

  • Reviews potential patient history prior to data processing.
  • Prepares and updates patient charts, ensuring all necessary information is included.
  • Confirms patient billing details, including responsible party, current address, phone number, and insurance provider, while ensuring insurance cards are copied completely.
  • Creates and organizes charge tickets for scheduled or newly added patients.
  • Accurately files all patient-related documentation in a timely manner.
  • Facilitates patient requests for the authorization to release medical records.
  • Collects co-pays, deductibles, co-insurance, and any outstanding balances.
  • Balances cash transactions at the end of each day and reports as instructed, ensuring all charge tickets are summarized and totaled. Posts charges and payments on the day of service as time allows.
  • Provides support for other clerical tasks as needed.
  • Responds to all phone inquiries promptly and courteously, taking accurate messages and ensuring timely follow-up for callers on hold.
  • Inputs data into the computer system following established protocols.
  • Communicates effectively with patients and physician offices to gather any missing information regarding patient accounts.
  • Contacts insurance companies to obtain necessary authorizations for services rendered.
  • Maintains a professional demeanor and appropriate communication with patients, colleagues, physicians, and vendors.
  • Ensures HIPAA confidentiality is upheld at all times.

Preferred Qualifications:

  • High School diploma or equivalent.
  • Familiarity with medical terminology is preferred.
  • One to three years of experience in a scheduling role within a medical office is preferred.
