Bilingual Office Coordinator

The Bilingual Office Coordinator plays a vital role in providing comprehensive administrative assistance to the team at 33 USA Inc. This position demands proficiency in both Japanese and English, alongside exceptional organizational capabilities and meticulous attention to detail.
The Bilingual Office Coordinator is tasked with a variety of administrative responsibilities, which encompass managing communications, organizing appointments, maintaining documentation, participating in meetings as an interpreter, and offering support for various projects as required.
Key Responsibilities:Communication Management:
- Oversee incoming and outgoing communications, including emails, letters, and phone inquiries
- Translate written materials and verbal messages between Japanese and English
- Compose and revise documents in both languages
- Attend corporate events or sales activities as an interpreter
Scheduling Coordination:
- Arrange appointments, meetings, and conference calls
- Manage calendars and resolve any scheduling conflicts
Documentation Management:
- Organize and maintain both digital and physical records, filing systems, and databases
- Update and structure documents and information as necessary
Support Functions:
- Facilitate travel arrangements, including booking flights, accommodations, and transportation
- Coordinate meeting logistics, including preparing materials and taking minutes
- Provide assistance with special projects through research and administrative support
Qualifications:
Required:
- Proficiency in both Japanese and English (written and spoken)
- Demonstrated experience in an administrative support role or similar position
- Strong organizational and time management abilities
- Excellent interpersonal and communication skills
Preferred:
- Bachelor's degree in business administration or a related discipline
- Familiarity with Japanese culture and business practices
