Role Overview

The Office Coordinator plays a vital role in supporting DAAXIT's administrative functions. This position involves organizing and documenting departmental meetings, assisting Fractional Chief Financial Officers (FCFOs) with report preparation and financial documentation, and participating in client meetings (virtually, pre-recorded, or in-person) to take notes and ensure follow-ups. Additionally, this role will provide support to other departments, including Business Development and Marketing, and may serve as a backup for essential accounting and Human Resources tasks.

For the right candidate demonstrating initiative and strong performance, there is potential for advancement into an Operations role.

Key Responsibilities

  • Act as a liaison between FCFOs and clients, managing meeting schedules and documenting discussions.
  • Support FCFOs by generating reports, managing Excel spreadsheets, and performing data entry tasks.
  • Foster strong client relationships to ensure satisfaction and retention.
  • Maintain confidentiality regarding client and company information.
  • Schedule and document departmental meetings, tracking key performance indicators (KPIs).
  • Assist various departments through cross-training and accepting delegated tasks.
  • Serve as a backup for internal Accounting and Human Resources functions.
  • Adapt to changes in responsibilities and accept multidisciplinary assignments.

Qualifications

Education and Experience:

  • Education: Associate's Degree preferred.
  • Experience: Minimum of 3 years in a fast-paced office or operations support role.

Language Requirements:

English is the primary language at DAAXIT. Strong communication skills are defined by the ability to actively listen, ask clarifying questions, and convey information clearly in both written and verbal formats.

Mathematical and Reasoning Abilities:

This position requires an intermediate understanding of mathematical processes and professional-level reasoning skills to process complex information and prioritize tasks effectively.

Physical Requirements:

Occasional lifting of up to 15 lbs. may be necessary. The role requires prolonged periods of sitting, viewing a computer monitor, and typing.
