Job SummaryQuantum Real Estate Management LLC is seeking a highly organized and detail-oriented Administrative Assistant to provide exceptional support to our team. As a key member of our front desk team, you will be responsible for ensuring a positive resident experience, handling administrative tasks, and maintaining accurate records.Key Responsibilities

Front Desk Reception & Administrative Support

  1. Provide exceptional customer service to residents, visitors, and staff, ensuring a professional and courteous experience.
  2. Manage the front desk area, including answering phones, directing calls, and responding to resident inquiries.
  3. Process mail, packages, and correspondence, ensuring timely and accurate delivery.
  4. Update and maintain resident log books, phone lists, and emergency contact information.
  5. Manage office supply inventory, completing weekly inventory and recommending supply orders to the Assistant Property Manager.
  6. Process payments, make bank deposits, and prepare delinquency and prepaid notices as directed.
  7. Assist with the applicant waiting list and leasing of apartments, including entering applications, checking files for accuracy, and maintaining records.
  8. Support the recertification process, assembling packets of forms, communicating with residents, and reviewing documents for accuracy.
  9. Assist with property maintenance, creating and closing maintenance tickets, contacting residents, and keeping the Assistant Property Manager informed of reoccurring issues.
  10. Schedule and coordinate meetings, projects, and resident events as directed.
