Administrative Coordinator

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Webber. The successful candidate will provide administrative support to our Executive Assistants, ensuring the smooth operation of our organization.
Key Responsibilities- Assist Executive Assistants with daily tasks and special projects, providing administrative, backup, and project management support.
- Coordinate meetings and events, including catering, meeting room preparations, and technology setup.
- Monitor and maintain office and break room supplies, ensuring a well-stocked and organized environment.
- Manage relationships with building management, vendors, and other office services, ensuring seamless communication and collaboration.
- Maintain inventory and ordering systems for office and break room supplies, ensuring timely and efficient restocking.
- Manage employee access badges for new and existing employees, ensuring secure and convenient access to our facilities.
- Assist with conference room calendars and reservations, ensuring efficient use of our meeting spaces.
- Maintain office floor plans using Bluebeam software, ensuring accurate and up-to-date records.
- Implement process improvements for tasks within the scope of the administrative position, ensuring continuous improvement and efficiency.
- Coverage of executives when an Executive Assistant is out of the office, ensuring seamless continuity and support.
- Proficient in Microsoft 365, with experience in Corpay, SharePoint, Bluebeam, Cytric, and Microsoft Teams a plus.
- Effective time management, prioritization, and organizational skills, with the ability to work well under pressure and navigate multiple deadlines.
- Strong communication and interpersonal skills, with a professional and courteous demeanor.
- Ability to work independently and collaboratively, with a moderate level of physical activity and exposure to outdoor conditions.
