Key Responsibilities:

Role Overview:


The Events Coordinator will collaborate closely with the Arts & Culture Team and the Special Needs Team, providing support in various facets of event planning, membership management, registration, and administrative duties.

The events encompass a diverse range of activities including author discussions, film screenings, educational seminars, recitals, and cultural festivals. These events may be conducted in-person or through virtual platforms, occasionally requiring evening or weekend availability.

The Coordinator is responsible for facilitating member renewals, participant recruitment, event reporting, coordination, and execution.

Additionally, the Coordinator will assist individuals with event registrations over the phone, necessitating strong communication skills both verbally and in writing.

Core Duties & Responsibilities:
Respond to phone inquiries and manage events while delivering exceptional customer service to current, past, and prospective members and attendees.
Explore new venue options for events.
Manage volunteer confirmations and address inquiries as needed.
Oversee vendor relationships, including obtaining quotes, menus, and other logistical elements.
Prepare necessary materials for events.
Coordinate travel arrangements (airfare, hotel bookings, transportation, etc.) for speakers as required.
Engage with high-profile members and donors regarding upcoming events.
Input JCC events into various community calendars for promotional purposes.
Create engaging content for social media to promote events.
Assist individuals with registration challenges, process registrations over the phone, and troubleshoot technical issues.
Ensure both JCC locations are equipped with appropriate marketing materials for upcoming events.
Schedule room usage for on-site events and Zoom meetings for virtual gatherings.
Check-in attendees for events both on-site and off-site.
Manage the film festival website.
Handle cash/check deposits at the on-site location as necessary.
Prepare and submit payment requests to the Accounting department.
Create invoices for individuals, members, or organizations as required.
Track expenses using Excel spreadsheets.
Utilize CRM software effectively.

Required Qualifications:

Experience & Skills:
Minimum of 3 years of relevant experience required.
High School Diploma or equivalent is mandatory; a College Degree is preferred.
Proficiency in Microsoft Word, Excel, and Outlook.
Demonstrated knowledge of Jewish history, traditions, and culture is preferred.
Comfortable making cold calls to potential participants.
Strong writing skills with the ability to craft compelling narratives.
Willingness to engage with team members and ask questions.
Flexibility in work hours and locations as needed, including evenings and weekends.
Exceptional attention to detail, customer service skills, and a positive attitude towards helping others.
Desire to learn and embrace the culture at the Mandel JCC.
Strong interpersonal skills, being approachable, a good listener, and empathetic.

Ability to work efficiently and independently in a fast-paced environment with multiple competing priorities.

Ability to collaborate effectively with agency staff to foster a positive, supportive team environment while maintaining professional relationships with clients, vendors, and external contacts.

Reliable transportation is required, with the ability to work at either JCC location or off-site.
Experience with CRM systems and online ticketing/event platforms is essential.

Compensation:
Salary range: $35,000 - $45,000
