Position Overview:


The Leave Administration Specialist is responsible for overseeing the administrative functions related to employee leave requests. This role involves collaboration with various stakeholders, including the Leave Team, Payroll, external leave vendors, and the HR Support Center. The specialist will ensure accurate documentation and updates in systems such as Kronos and Workday to reflect employees' work hours, leave statuses, and associated benefits.


Key Responsibilities:
1. Manage the administrative processes for both paid and unpaid leave programs.
2. Provide timely and precise responses to inquiries regarding leave and payroll from employees and management.

3. Collaborate closely with the Leave Team, leave vendors, and Payroll to ensure accurate tracking of employee statuses, including FMLA and other leave types.

4. Regularly update and audit Workday to ensure accurate records for employees on leave or those who have submitted leave requests.

5. Review timekeeping records in Kronos for employees on leave to verify pay, disability benefits, and leave status in accordance with established policies.

6. Monitor and respond to communications from the Leave & Disability inbox and escalate issues to Leave Consultants as necessary.

7. Generate and manage monthly reporting metrics and analytics related to leave claims, providing insights and regular reports to the Leave Team and Payroll.

8. Support the Leave Team in processing accommodation and leave requests, tracking client groups, and reallocating responsibilities as needed.

9. Assist in the integration of leave programs and policies, serving as a key contact for API-related inquiries when new healthcare providers or employees join.

10. Maintain comprehensive records of leave-related activities, including personnel changes and benefit communications.

11. Oversee the performance of leave vendors, identifying areas for improvement and addressing any issues that arise.

12. Uphold strict confidentiality regarding sensitive information, including protected health information, in compliance with organizational policies.

Required Qualifications:


A Bachelor's Degree in a relevant field from an accredited institution or equivalent experience in human resources, benefits, or leave management.

A minimum of 2 years of experience in managing or administering leave and disability programs, or in HR compliance with payroll and timekeeping regulations.


Preferred Qualifications:
5 or more years of experience in leave and disability program management.

Preferred Certifications:
PHR, SPHR, SHRM-CP, or SHRM-SCP.

Knowledge and Skills:
Strong understanding of legal and compliance requirements for leave and disability management.
Ability to work independently in a dynamic environment with shifting priorities.
Demonstrated skills in problem-solving, time management, and prioritization.
Excellent written and verbal communication abilities.
Proficiency in Microsoft Office Suite, including Excel.
