Position Overview:


The Leave Administration Specialist is responsible for overseeing the administrative functions associated with employee leave requests. This role requires collaboration with various stakeholders, including the Leave Team, Payroll, external leave vendors, and the HR Support Center. The specialist will ensure that systems such as Kronos and Workday are accurately updated to reflect employees' working hours, leave statuses, compensation, and benefits.


Key Responsibilities:
1. Administer both paid and unpaid leave programs efficiently.
2. Provide timely and precise responses to inquiries regarding leave and payroll from employees and management.

3. Collaborate closely with the Leave Team, external vendors, and Payroll to ensure accurate tracking of employee statuses, including FMLA and other leave types.

4. Regularly update and audit Workday to maintain accurate records for employees on leave or those who have submitted leave requests.

5. Review timekeeping data in Kronos for employees on leave to verify pay, disability benefits, and leave status in accordance with relevant policies.

6. Manage communications received through the Leave & Disability inboxes, prioritizing requests and escalating issues to Leave Consultants when necessary.

7. Generate and analyze monthly reporting metrics for leave claims, supplying data to the Leave Team and Payroll, along with additional reports as needed.

8. Support the Leave Team in processing accommodation and leave requests, tracking client groups, and redistributing tasks during staff absences.

9. Assist in the integration of leave programs and policies, serving as the primary contact for application programming interface (API) needs when new healthcare providers or employees are onboarded.

10. Maintain comprehensive records of leave-related activities, including personnel changes and benefit communications.

11. Oversee and evaluate leave vendors, monitoring their performance and identifying opportunities for process enhancements.

12. Uphold the confidentiality of sensitive information, including protected health information, and adhere to the organization's confidentiality policies and training.

13. Demonstrate the necessary professional, clinical, or technical competencies required for the designated department.

These responsibilities are designed to outline the essential functions of the role and are not exhaustive. Additional duties may be assigned as necessary.



Required Qualifications:


A Bachelor's Degree in a relevant field from an accredited institution or equivalent experience of two years in human resources, benefits, or leave and disability management.

High School Diploma.

A minimum of two years of experience in managing or administering leave and disability programs, or in HR compliance related to timekeeping and payroll.


Preferred Qualifications:
Five or more years of experience in leave and disability program management.

Preferred Certifications:
PHR, SPHR, SHRM-CP, or SHRM-SCP.

Knowledge and Skills:
Understanding of legal and compliance standards for managing leave and disability programs.
Ability to work autonomously in a dynamic environment with shifting priorities.
Proven problem-solving, time management, and prioritization skills.
Excellent written and verbal communication abilities.
Proficiency in English, both spoken and written.
Competent in Microsoft Office Suite, including Windows and Excel.
