Role Summary: The Project Coordinator, RFP Management will collaborate with the Public Policy and State Partnerships team, as well as various departments across the organization, to oversee significant RFP and State Partnerships projects and initiatives. This position is responsible for the effective initiation, coordination, execution, monitoring, and closure of assigned projects, ensuring alignment with the organization’s strategy, commitments, and objectives.

Key Responsibilities:

  • Facilitates the RFP process by coordinating essential cross-functional stakeholders to ensure effective internal and external communications and RFP preparedness.
  • Oversees the strategic planning of RFP submissions from conception to final delivery, ensuring efficient workflows and adherence to deadlines.
  • Promotes effective communication within the team; collaborates with sub-team leaders to identify and assign tasks to appropriate team members, ensuring successful completion of all responsibilities.
  • Creates strategic project timelines and production schedules based on prioritization, planning, and resource allocation.
  • Engages with various teams throughout the organization to define the unique scope, objectives, and deliverables of each project.
  • Manages proposal deadlines by establishing internal due dates for information collection, writing/editing, approvals, and signatures.
  • Allocates project resources, assembles the leading project team, and oversees deliverables and timelines to guarantee project success.
  • Maintains documentation and distributes meeting notes with actionable items.
  • Leads kick-off and post-project evaluation meetings to foster meaningful collaboration in accordance with RFP requirements, thoroughly assessing project outcomes, KPIs, and opportunities for continuous improvement.
  • Assists in strategic decision-making regarding RFP prioritization.
  • Ensures a comprehensive process for notification, documentation, and escalation is established to report on both achievements and risks throughout the project lifecycle.
  • Innovates methods for delegating, tracking, and reporting on project progress.
  • Contributes to cultivating a culture of growth, satisfaction, high performance, and positive relationships among all project teams.
  • Builds strong, cross-departmental working relationships.
  • Challenges existing processes, advocates for new initiatives, and acts as a catalyst for change that enhances business performance and project management.
  • May require occasional domestic travel.

Qualifications:

  • At least 3 years of experience in Project Management.
  • Ability to manage multiple projects in a fast-paced environment.
  • Exceptional interpersonal and communication skills (both written and verbal).
  • Proficient in partnering and communicating effectively across various business teams and levels.
  • Skilled in facilitating large cross-functional meetings and delegating tasks.
  • Strong time management skills, punctuality, and a keen ability to prioritize with meticulous attention to detail.
  • Demonstrated administrative and organizational capabilities.
  • Adaptable, committed, and aligned with the mission of Teaching Strategies.
  • Proven ability to thrive in a goal-oriented environment as a proactive and motivated contributor.
  • Familiarity with Teaching Strategies products is advantageous.
  • Comfortable using project management tools such as Asana.
  • PMP certification or relevant coursework is a plus.
