Position Overview:
We are currently looking for a Records Management Specialist to support our Vendor Management Team.

In this role, you will engage with internal Collections teams and external Vendors, providing exceptional service while ensuring the effective management of records within your scope.


Key Responsibilities:
  • Assist with notary signings, record creation, maintenance, and safeguarding.
  • Manage record-keeping and assist with clerical tasks.
  • Prioritize, organize, release, or withhold records as necessary.
  • Develop written procedures for file organization and establish measures to protect confidential information.
  • Create documentation for department-specific systems and ensure compliance with records management policies.
  • Implement a records retention schedule and manage the preservation, transfer, and destruction of records accordingly.
  • Assist in developing public information initiatives.
  • Verify the authenticity of organizational documents and provide insights into their creation and maintenance for legal purposes.
  • Safeguard data to comply with federal and state privacy regulations.
  • Provide thorough and accurate documentation to customer accounts through Upgrade communication channels.
  • Contribute to the continuous improvement of our department and support the Vendor Management Team.
  • Maintain high-quality assurance standards.
  • Foster a positive work environment that aligns with Upgrade's values.

Qualifications:
  • Bachelor's or Associate's degree preferred.
  • Active notary certification or willingness to obtain one.
  • Excellent written and verbal communication skills combined with strong analytical and problem-solving abilities.
  • Demonstrated ability to manage multiple tasks in a fast-paced environment.
  • Flexibility and adaptability to meet business needs.
  • Willingness to travel and appear in court, testifying under oath regarding the accuracy of records.
  • Commitment to signing and attesting to the authenticity of records for litigation purposes.
  • Previous experience in customer service, sales, or finance is advantageous.
  • Familiarity with FDCPA and FCRA regulations is a plus.
