Overview

We are seeking a highly organized and detail-oriented Administrative Operations Coordinator to provide support to our Chief Marketing Officer (CMO) and the Marketing team. The ideal candidate will have a strong background in marketing, project coordination, and office administration, with excellent communication and organizational skills.

Responsibilities

  • Maintain an accurate and detailed calendar for the CMO, ensuring seamless coordination of meetings and events.
  • Prioritize tasks and projects daily, monitoring emails, documents, and materials to ensure timely completion.
  • Draft internal and external communications, including correspondence and briefing documents, on behalf of the CMO.
  • Oversee the creation of briefing documents, including talking points and event briefings.
  • Help plan and coordinate internal and external meetings, team events, and other initiatives.
  • Collaborate with other administrative assistants to coordinate schedules across teams.
  • Manage all travel arrangements and reservations for the CMO.
  • Track and reconcile monthly credit card statements.
  • Complete and submit timely expense reports.
  • Provide special project support to the CMO, liaising with other teams as needed.
  • Assist with PowerPoint creation and editing, as well as Excel document creation and editing.
  • Assist with pulling and disseminating reports from various technologies as needed.
  • Assist with technology setup and troubleshooting for meetings.

Qualifications

Education

Bachelor's degree, preferred.

Experience Required

  • 2 years marketing experience.
  • 3 years project coordination experience.
  • 3 years office coordination experience in an administrative role.
  • 3 years MS Office Suite experience, including expense report completion, scheduling, and other administrative tasks.
  • Advanced Excel skills, including document creation, pivot tables, and formulas.
  • Advanced organizational skills.
  • Advanced scheduling and task accomplishment skills.
  • Member or attending an evangelical Christian church.
