Project Coordinator Job Description

The Project Coordinator will play a vital role in supporting the day-to-day operations of our team. This includes managing construction files, coordinating vendor invoices, and assisting with financial and administrative documentation.

Key Responsibilities:

  • Support department processes, file management, and financial reporting.
  • Manage construction files according to document retention policies.
  • Assist with reconciliation and closure of financial and administrative documents.
  • Coordinate vendor proposals, invoices, pay applications, and change orders.
  • Ensure timely processing and payment of invoices.
  • Collaborate with team members on various administrative tasks, including Tenant Improvement Allowance (TIA) management, license applications, and tax notifications.
  • Prepare and track project budget requests.
  • Support the bidding, store walkthrough, warranty process, and document storage.
  • Ensure timely delivery of monthly reporting packages to team members and vendors.
  • Provide assistance with Project Management Software.
  • Handle ad-hoc reporting requests from leadership.

Requirements:

  • 2+ years of relevant business experience.
  • Bachelor's degree in finance, construction, or a related field preferred (or equivalent experience).
  • Strong organizational and communication skills; ability to interact with all levels of personnel.
  • Familiarity with Enterprise Network and Project Management Software (e.g., Projectmates, Procore) preferred.
  • Proficiency in Microsoft Office (Word, Teams, Outlook) with advanced skills in Excel.
  • Understanding of construction and financial terminology.
  • Ability to work in a fast-paced office environment.
  • Strong problem-solving, interpersonal, and customer service skills.
  • Highly organized with the ability to prioritize and adapt to changing situations.
