Job Overview

We are seeking a meticulous Real Estate Administrative Coordinator to join our dynamic team at KEW Legal. In this role, you will be pivotal in overseeing all documentation processes efficiently, ensuring timely communication with clients regarding important deadlines, and facilitating the legal compliance of each transaction. Your responsibilities will also include organizing appointments and property viewings while delivering exceptional customer service.

As part of your duties, you will collaborate with colleagues to enhance our brand visibility and coordinate community events. The ideal candidate will exhibit thoroughness, possess excellent interpersonal skills, and have a foundational understanding of documentation procedures and database management.

Compensation:

$50,000 annually

Key Responsibilities:
  • Support the real estate team in organizing local events to strengthen community ties.
  • Meet company goals and regularly compile progress reports for team review.
  • Coordinate travel arrangements, open houses, final walkthroughs, and other essential activities.
  • Ensure timely completion of all real estate transaction paperwork to expedite closings.
  • Respond promptly to client inquiries with attentiveness and care.
  • Deliver outstanding customer service and maintain effective communication with clients and referral sources.
  • Manage the Firm Calendar, including meetings, client appointments, closings, and deadlines.
  • Update case management systems with relevant project details, deadlines, and reminders.
  • Open and close case files as necessary.
  • Request essential documents such as title, lien, tax information, surveys, estoppels, and payoffs to fulfill title requirements.
  • Process and review title documentation.
  • Prepare closing statements and disclosures.
  • Coordinate due diligence for various commercial and residential real estate transactions, including acquisitions and dispositions.
  • Prepare and file various documents, including deeds, mortgages, and UCC financing statements.
  • Compile and distribute closing binders.
  • Create closing checklists and manage the closing process for different transactions.
  • Assist in finalizing title insurance policies and addressing post-closing matters.
  • Confirm wire instructions verbally to mitigate wire fraud risks.
  • Prepare signing packages for notarization, both in-person and remotely.
Qualifications:
  • Strong verbal and written communication skills.
  • Availability for weekends and evenings.
  • Prior experience in the real estate sector is preferred.
  • A high school diploma or GED is required.
  • Must possess or be pursuing a real estate license.
  • A minimum of three years of experience in the real estate closing process is essential.
  • Ability to manage a closing file from start to finish.
  • Proficiency in Spanish, both verbal and written, is highly desirable.
