Join our dynamic team at The Jills Zeder Group at Coldwell Banker as we seek a motivated and detail-oriented individual to fill the role of Administrative Assistant. This position is perfect for someone who possesses an active Florida real estate license and has a passion for providing exceptional customer service in a fast-paced environment.

Key Responsibilities

  • Prepare properties for viewings and ensure security post-showings.
  • Conduct property tours and effectively communicate features to potential buyers.
  • Manage appointment scheduling and maintain an organized calendar.
  • Attend property inspections and walkthroughs.
  • Stay updated on market trends and conduct market analysis.
  • Communicate showing activities and adjust listings strategically.
  • Organize and host open houses and special events.
  • Maintain a record of visitors and follow up with leads.
  • Ensure accurate entry of client information into the CRM system.
  • Prepare correspondence, documents, and contracts with precision.
  • Conduct audits of listing inventory and manage key controls.
  • Deliver presentations and client gifts.
  • Assist the marketing department with copywriting and promotional materials.

  • Proficient in MLS Matrix, Microsoft Office Suite, and Top Producer.
  • Team-oriented with the ability to work collaboratively.
  • Capable of working under pressure and meeting tight deadlines.
  • Flexible multitasker with strong prioritization skills.
  • Willingness to perform both administrative and personal tasks as required.

Requirements

  • Active Florida Real Estate Sales Associate License.
  • Minimum of 1 year of experience in real estate.
  • Background or interest in marketing.
  • Reliable transportation is essential.
  • Availability to work five days a week, including weekends.
  • Proficient in reading and writing English.
