About the Role

The Executive Assistant and Office Coordinator will be responsible for a wide range of administrative and coordination tasks supporting the Chief Executive Officer (CEO) and Board of Directors. This position requires excellent time management and coordination skills, experience in supporting C-suite executives, and ability to interact with all staff, volunteers, and donors in a professional manner.

Key responsibilities include acting as the point of contact for the CEO among leadership team, employees, donors, and external partners, managing and organizing the schedule and calendar for the CEO, assisting the CEO with expense reports and receipt submittals monthly, coordinating board and committee meetings, and handling specific correspondence/tasks for the CEO as requested.

Responsibilities
  • Coordinate and manage schedules, calendars, and correspondence for the CEO, Board of Directors, and committees.
  • Manage corporate records, maintain incident reports, oversee implementation of procedures for retention, protection, retrieval, transfer, and disposal of records, and ensure timely compliance with corporate filings.
  • Serve as a staff resource for the Board of Directors and Committees, coordinate board and committee meetings, update the calendar accordingly, and manage relationships with the Board of Director members.

Additionally, this role will involve administering office duties, maintaining confidentiality, and participating in Senior Leadership Meetings and other various meetings as requested.

Requirements:

  • A minimum 3-5 years of successful experience in an administrative support role, personal assistant, or equivalent role.
  • Experience working in a fast-paced office environment with a high quality work ethic to achieve maximum productivity.
  • Outstanding organizational and time management skills, ability to multi-task with attention to detail, and effective written and verbal communications skills.
  • High level of competence with Microsoft Office applications and ability to maintain discretion and confidentiality.

Salary and Benefits:

$41,000-$46,000 annually. Benefits provided include ICS Retirement Plan, generous Paid Time Off, paid holidays, and company paid life insurance.
