Job Summary

We are seeking an experienced Administrative Coordinator II to join our team at Nova Southeastern University. The successful candidate will provide administrative support to the Program Director and other senior leadership, coordinating activities and functions within the dental school and between NSU and external contacts.

Key Responsibilities
  • Coordinate activities and functions for the Program Director and other senior leadership
  • Manage student locker assignments and issues, prepare work orders and annual locker switchovers
  • Prepare and send monthly Simulation Lab schedules to faculty and students
  • Respond to inquiries and resolve complex problems requiring in-depth understanding of work-area policies and procedures
  • Review data and follow up on discrepancies to ensure accuracy
  • Enter data and generate reports from NSU specific software systems
  • Coordinate travel arrangements to ensure efficient use of management's time
  • Process financial transactions such as check requests, purchase orders, and travel reimbursements
  • Coordinate and monitor the schedule of Program Director and others as assigned
  • Perform general office duties, such as ordering supplies and maintaining records
  • Assist in the coordination of accreditation activities
  • Complete special projects as assigned
Requirements
  • High School Diploma or Equivalent
  • Four (4) years of experience providing administrative support and experience managing/coordinating numerous functions
  • Advanced knowledge of MS Office Suite (Outlook, Word, Excel, PowerPoint)
  • Knowledge of grant funding policies and procedures and applicable local, state, federal, and university regulations
Preferred Qualifications
  • Associate degree and three (3) years of experience providing administrative support and experience managing/coordinating numerous functions
  • Bachelor's Degree and one (1) year of experience providing administrative support and experience managing/coordinating numerous functions
Working Environment

The successful candidate will work in a clinical setting and may be required to travel on a daily and/or overnight basis. The position may also require working nights or weekends.
