Job Overview:

This position is integral to the project management team, providing essential administrative support for various construction initiatives.

Key Responsibilities:

· Develop and maintain project documentation, including creating project binders and organizing files in server and accounting systems.

· Manage and process all subcontract agreements, change orders, and purchase orders, ensuring all necessary documentation is complete (e.g., Certificates of Insurance, W9 forms, Schedule of Values) following the project manager's defined scope and pricing.

· Oversee the processing of prime change proposals and orders once the project manager has established and negotiated the scope and costs.

· Scan, archive, and disseminate all project-related documents, such as contracts, change orders, Requests for Information (RFIs), and submittals as required.

· Provide assistance with RFIs and submittals.

· Attend project meetings, taking detailed minutes, including those from weekly operations discussions.

· Distribute weekly project updates to clients and team members.

· Compile closeout packages, including warranties and as-built documents, for completed projects.

· As time allows, assist with bid distribution, proposal preparation, and other documentation tasks related to securing new projects.

Work Environment:

This role operates in both a professional office setting and on construction sites, utilizing standard office equipment such as computers, telephones, copiers, and printers.

While fulfilling the responsibilities of this role, the employee is regularly required to sit, type, communicate verbally, and listen. The employee frequently needs to stand, walk, use their hands, and reach. Lifting or moving up to 10 pounds is often required. Vision capabilities include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to focus.

Qualifications and Skills:

· Strong attention to detail

· Exceptional verbal and written communication skills

· Proficient in Excel, Word, and construction industry software at an intermediate to advanced level

· At least 2 years of experience in a similar capacity

· Proven adaptability to changing priorities
