Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Lone Star College. The successful candidate will provide administrative support to multiple individuals or departments, performing a variety of tasks to ensure the smooth operation of our office.

Key Responsibilities
  • Administrative Support
    • Provide administrative support to multiple individuals or departments, including receiving and logging information, making copies, sorting and distributing mail, and coordinating office functions.
    • Prepare correspondence and basic reports, schedule appointments, and make travel arrangements as needed.
  • Communication and Customer Service
    • Screen calls for managers and respond to routine questions, providing excellent customer service and ensuring a positive experience for our students and employees.
    • Interface with internal and external contacts as needed to carry out the functions of the position.
  • Technical Skills
    • Progressively utilize the features of one or more standard business software packages, including Word Processing, Spreadsheets, and Databases.
    • Design routine spreadsheets, set up routine formulas, and print desired sections.
    • Set up new database files and recommend screen improvements.
  • Other Responsibilities
    • Responsible for safety and maintenance of own equipment, and may control or disburse petty cash or monitor expenses charged against department accounts.
    • May collect data and perform basic mathematical calculations, including assisting with budget documents and records.
    • Some positions may assist in scheduling and inputting classes and/or prepare instructor classroom and project materials.
    • Some positions assist students by handling their requests and providing routine information.
Requirements
  • Education and Experience
    • High school diploma or GED and at least 1 year of experience, or an equivalent combination of education and experience.
  • Skills and Abilities
    • Knowledge of general office practices and procedures.
    • Strong oral and written communication skills.
    • Excellent customer service skills.
    • Strong attention to detail.
    • Proficiency with common office software (i.e. Microsoft Word, Excel and Access).
    • Ability to work on multiple projects.
    • Ability to multi-task and prioritize work assignments.
    • Ability to maintain confidentiality.
Working Conditions

The work is sedentary, typically requiring the employee to sit comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items, or driving an automobile. No special physical demands are required to perform the work.
