Job Purpose:

This position is designed to support the project management team with various administrative tasks related to specific construction initiatives.

Key Responsibilities:

· Organize project documentation, establish job files, and maintain records in server and accounting systems, ensuring both hard and digital copies are systematically filed.

· Manage and process all subcontract agreements, change orders, and purchase orders for projects, ensuring all necessary documentation (such as Certificates of Insurance, W9 forms, and Schedule of Values) is collected after the Project Manager has finalized the scope and pricing.

· Oversee and process all prime contract change proposals and orders once the Project Manager has defined and negotiated the terms.

· Scan, archive, and disseminate all project-related documents, including contracts, change orders, Requests for Information (RFIs), and submittals as required.

· Provide assistance with RFIs and submittals as needed.

· Attend project meetings, documenting minutes and action items, including weekly operational meetings.

· Distribute weekly project updates to clients and team members.

· Prepare closeout packages, including warranties and as-built documents for projects.

· When time allows, assist with bid distribution, proposal preparation, and other documentation tasks related to securing new projects.

Vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to focus.

Skills and Qualifications:

· Strong attention to detail

· Exceptional verbal and written communication skills

· Proficient in Excel, Word, and construction management software

· At least 2 years of experience in a similar capacity

· Demonstrated flexibility and adaptability to changing priorities
