Job Title: Department Administrator

The University of Chicago's Department of Cinema and Media Studies is seeking a highly organized and detail-oriented Department Administrator to manage the academic and administrative affairs of the department.

About the Department

The Department of Cinema and Media Studies is a vibrant hub of courses, seminars, screenings, and workshops that contribute to the University of Chicago's tradition of cross-disciplinary scholarship and intellectual debate.

  • The department is dedicated to pursuing innovative work in the history, culture, and theory of film and related media.
  • The department comprises seventeen degreed programs, with about 800 students from around the world enrolled in our PhD, MFA, and MA programs.
Job Summary

Under the direction of the Department Chair, the Department Administrator will manage the academic and administrative affairs of the department, including collaboration with leadership on department initiatives, department administration, student and faculty support, budget and financial management, establishment of best practices, management of operational workflow, collaborating with internal and external partners, and relationship building.

Key Responsibilities
  • Develops a deep understanding of the Department of Cinema and Media Studies and communicates priorities and performance standards while routinely assessing operations.
  • Recommends and implements enhancements and improvements.
  • Serves as point person for the Department; liaise between the Department, Division, University partners, and external stakeholders to service the program and perform day-to-day functions.
  • Interacts with faculty, researchers, and staff for committee work or information.
  • Schedules faculty meetings throughout the year and takes meeting minutes.
  • Maintains and edits department website.
  • Develops and maintains internal and Divisional databases; aids students and faculty in understanding administrative policies, systems, and resources, including financial.
  • Helps prepare and submit reports as needed; composes emails and memos on behalf of others (Chair, DGS, DUS).
  • Supervises a full-time, shared assistant with the EALC Department; works closely with Media Arts and Design program administrator and staff in the Film Studies Center.
  • Coordinates meetings with CMS, MAAD, and FSC, including the CMS Chair.
  • Works with various divisional personnel, the College, Registrar, Office of International Affairs, and other University offices to accomplish duties.
  • Maintains Department office, copy room, meeting room, and kitchen area; ensures spaces are organized, stocked, and clean.
  • Advises students independently about degree requirements, milestones, and other concerns.
  • Interprets and enforces degree requirements.
  • Annually updates Graduate Student Handbook in consultation with Chair and DGS.
  • Keeps graduate student records up-to-date.
  • Tracks pedagogical training requirements.
  • Maintains departmental Canvas site.
  • Assembles materials for DGS graduate student advising.
  • Administers process for graduate milestones.
  • Works with faculty reps to plan and implement workshops/job talks for those entering job market.
  • Tracks job placement and alumni.
  • Provides data and analysis of information as needed.
  • Manages twice-yearly student travel award process.
  • Oversees the department Dissertation Completion Fellowship process.
  • Communicates with students and faculty about procedures and ensures timelines are met.
  • Manages admissions process.
  • Responds to inquiries from prospective students.
  • Flags applications which do not meet data-driven and other requirements.
  • Manages systems and faculty participating in admissions cycle.
  • Creates and/or analyzes reports.
  • Assists with planning prospective student campus visits and manages all logistics.
  • Develops annual packets to be sent to new students.
  • Organizes the application and review process for visiting students and visiting faculty.
