Job Summary

The University of Chicago seeks an experienced and detail-oriented Department Administrator to support the Classics Department. This role will provide administrative support to the department chair, faculty, and staff, ensuring the smooth operation of academic and administrative affairs.

Key Responsibilities
  • Provide administrative support to the department chair, faculty, and staff, including managing calendars, coordinating travel arrangements, and preparing meeting materials.
  • Manage the department's budget, including processing invoices, reconciling expenses, and preparing financial reports.
  • Coordinate events, workshops, and conferences, including arranging logistics, catering, and promotional materials.
  • Develop and maintain departmental procedures, policies, and guidelines.
  • Serve as a liaison between the department, division, and university offices, ensuring effective communication and collaboration.
  • Provide support for faculty recruitment, hiring, and onboarding processes.
  • Manage student worker hiring, onboarding, and supervision.
  • Develop and maintain departmental databases, spreadsheets, and files.
  • Perform other related duties as assigned.
Requirements
  • Bachelor's degree in a related field.
  • 2-5 years of experience in administrative or office management roles, preferably in higher education.
  • Excellent communication, organizational, and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Office Suite and other software applications.
Preferred Qualifications
  • Experience in academic administration, office management, or a related field.
  • Knowledge of university policies and procedures.
  • Ability to learn and adapt to new software systems and technologies.
Working Conditions

The Department Administrator will work in an office environment, with occasional travel and evening or weekend work required. The position requires the ability to lift up to 25 pounds and to work in a fast-paced environment.
