Housing Clerk

Range: 19 Department: Public Housing

This role is not eligible for telecommuting.

ROLE SUMMARY:
Support the effective management of designated housing projects.

REPORTING STRUCTURE:
Accountable to the Housing Manager.

KEY RESPONSIBILITIES:
1. Gather data and compile reports for ongoing and future initiatives.
2. Process tenant rent payments and maintain accurate transaction records.
3. Update tenant accounts with correct rent adjustments and maintenance fees.
4. Generate notifications for overdue accounts.
5. Assist emergency responders and tenants during urgent situations.
6. Review and refresh computer-generated reports. Maintain comprehensive tenant records.
7. Manage the waiting list and facilitate unit viewings for potential residents, conduct lease signings, and process move-outs.
8. Create work orders and keep an updated log of all requests.
9. Handle applications and periodic reviews. Inform residents about inspections and send necessary notifications.
10. Undertake additional tasks as required.

WORK ENVIRONMENT:
Work conditions may be challenging at times due to workload demands.

REQUIRED QUALIFICATIONS:
High school diploma or equivalent. Strong interpersonal skills to engage positively with the public and colleagues. Ability to maintain confidentiality of sensitive information. Compliance with attendance policies is essential. A valid Oklahoma Driver License with a satisfactory driving record is required. Proficient office skills and familiarity with basic computer operations are necessary. Spanish language proficiency is preferred.

PHYSICAL REQUIREMENTS:
Capability to read and compose correspondence, interpret ledgers, and utilize computerized reports, code books, and plans. Ability to access all areas of assigned buildings and units. Effective communication skills, both in person and over the phone. Adequate physical coordination for extensive file management. All physical capabilities will be assessed based on the ability to perform tasks, with or without reasonable accommodations under the ADA.
