Position Summary
As an Administrative Support Specialist, you will provide essential office assistance and administrative functions, which include customer service, reception duties, word processing, document scanning, accounts receivable, purchasing, data entry, and mail/materials distribution. Your responsibilities will also encompass filing, scheduling meetings, proofreading/editing, copying, and faxing documents.
You will process registrations and collect fees, with tasks varying based on departmental needs and may include additional related duties.This is a part-time, non-represented, casual position requiring approximately 20 hours per week, with a flexible schedule year-round.
Essential Functions
Administrative Support Specialist
In this role, you will execute the responsibilities of the Clerical Assistant I, which includes performing basic accounting tasks such as purchasing supplies, processing registrations, managing payments, collecting fees, and maintaining accounting records. You will also scan and archive documents in compliance with applicable record retention laws, enter timesheets and other data into existing systems, and manage calendars and meeting schedules. Additional administrative support duties may be assigned as needed.
Uphold ethical standards and demonstrate honesty in all work activities and interactions, fostering confidence in the City through your actions.
Comply with all safety regulations and perform tasks in a safe manner.
Deliver outstanding customer service to a diverse audience.
Maintain effective working relationships with colleagues and the public.
Adhere to all City and Department policies and maintain punctuality in attendance at work, meetings, and other work-related functions.
Qualifications and Skills
Education and Experience
A high school diploma or equivalent is required.
One year of relevant experience or education in office/business procedures or a related field; or a combination of education and experience that provides the necessary knowledge, skills, and abilities to perform the essential functions of the position.
Knowledge, Skills and Abilities
Familiarity with basic office procedures and techniques.
Proficient in business English, spelling, punctuation, grammar, and basic mathematics.
Understanding of cash register operations and cashier practices, including register balancing, may be required for certain assignments.
Strong interpersonal, customer service, and communication skills.
Ability to learn department-specific hardware and software essential for fulfilling the position's responsibilities. Proficiency in touch typing is preferred.
Ability to foster positive relationships with coworkers and the public.
Requires comprehension of standardized rules, regulations, and instructions; ability to make routine decisions regarding immediate situations, available options, and selection of appropriate methods and procedures.
Ability to prioritize tasks within set time constraints and perform routine duties independently.
Special Requirements
CPR/AED for the Professional Rescuer / Healthcare Provider and Standard First Aid certification required within six months of hire if assigned to the Aquatic Center.
Availability for late evening, early morning, weekend, and/or holiday hours may be necessary depending on assignment.
