Position Overview
Are you an experienced professional in event management with a passion for healthcare? Do you possess exceptional organizational skills and a keen eye for detail?

Ripple Effect is seeking a Healthcare Event Planner with a minimum of three years of relevant experience to contribute to our mission. This role will collaborate closely with the events team within the Communications Department, providing comprehensive support before and after conferences, including logistics, marketing, procurement, audiovisual needs, venue coordination, and scheduling for virtual, hybrid, and in-person events.

Key Responsibilities
  • Assist in the preparation of conference materials such as agendas, briefing documents, presentations, travel arrangements, and accommodation details.
  • Compile post-event reports that include summaries, key insights, and metrics.
  • Create and manage event timelines to ensure all client requirements are fulfilled.
  • Oversee the technical aspects of all events.
  • Facilitate the registration process and maintain accurate registration records.
  • Research, coordinate, and liaise with vendors.
  • Draft detailed meeting minutes and summaries, as well as post-event reports.
  • Analyze data generated during events to derive actionable insights.
  • Perform additional duties as assigned.

Qualifications
  • High School Diploma.
  • A minimum of three years of relevant professional experience.
  • Proficient in administering event platform software (e.g., Zoom, Cvent).
  • Willingness to travel as needed for events and meetings.
  • Experience in coordinating both small and large-scale events.
  • Ability to design and prepare agendas, run-of-shows, and other essential meeting materials.
  • Experience in creating and following event task lists.
  • Skilled in preparing high-quality, client-ready materials.
  • Experience with speaker communication and tracking.
  • Proficient in setting up and managing virtual, hybrid, and in-person events.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Word and Excel.
  • Experience in vendor research and selection.
  • Exceptional organizational skills with a focus on detail.
  • Ability to think critically and manage time effectively.

Preferred Skills
  • Strong technical background with event platforms and production.
  • Bachelor's Degree (may substitute for years of experience).
  • Experience managing multiple concurrent events.
  • Creative and innovative approach to event planning and execution.
  • Experience using project management tools to track event tasks.
  • Familiarity with event engagement tools.
  • Experience coordinating travel and reimbursements for attendees.
  • Ability to analyze event metrics and data.
  • Experience working with government clients.
  • Possession of CGMP certification.
