POSITION SUMMARY:
This role oversees the operational staff, including the Facilities Manager, Housekeeping personnel, and setup teams. It involves managing, supporting, and providing resources for the daily operational and maintenance requirements of the venue.

Coordinates and directs operational staff, subcontractors, and daily activities essential for executing successful events and maintaining the facility's efficiency and effectiveness.


KEY RESPONSIBILITIES:


Collaborate closely with the general manager to establish and implement operational procedures that align with corporate standards, tailored to the specific needs of the venue, and consistent with the objectives of the client and organization.


Partner with senior management to create strategic plans addressing client needs while generating innovative ideas to enhance guest services, boost revenue, and/or minimize operational expenses.


Assist in preparing the annual operating budget for the venue and recommend a capital budget for long-term repairs and enhancements.

Oversee subordinate managers/coordinators across various functions.

Responsibilities include:

Conducting interviews, hiring, and training staff; Planning, assigning, and directing tasks; Evaluating performance and collaborating with the general manager and HR to resolve issues and recognize employee achievements.

Manage, train, and schedule the workload of housekeeping staff, setup teams, and maintenance managers, ensuring the venue is clean, organized, and prepared for client arrivals. Assist in addressing parking requirements for events, ensuring adequate staffing for incoming activities.


Direct, supervise, and provide training for the facilities manager to ensure all operational needs of the venue are met.


This encompasses, but is not limited to:

Ensuring proper functioning and preventive maintenance of the venue's HVAC systems; Overseeing repairs and maintenance of the facility and its systems, including doors, carpets, elevators, plumbing, fire suppression, fire alarms, and electrical systems; Providing support to the food & beverage department regarding kitchen facilities and equipment maintenance; Ensuring event electrical setups, parking requirements, and client requests are fulfilled; Guaranteeing appropriate engineering staffing for events.

Lead operational capital improvements with support from facilities management. Ensure that annual budgeted projects are completed in a timely, cost-effective, and efficient manner. Follow procurement processes to authorize equipment and supply requisitions within budget guidelines.


With the support of the facilities and housekeeping supervisors, ensure all housekeeping needs of the venue are addressed.

This includes maintenance and care of the facility, along with housekeeping support for events and clients.


With the assistance of the facilities and setup supervisors, ensure all setup requirements of the venue are fulfilled.

This includes maintenance and care of tables and chairs, as well as maintaining proper inventory of setup items to accommodate event needs.

Investigate, analyze, and resolve operational issues and complaints. Conduct regular staff meetings to discuss procedures, challenges, and policy updates.


Ensure compliance with all laws, codes, ordinances, policies, procedures, risk management guidelines, safety protocols, rules/regulations, and emergency procedures.


QUALIFICATIONS:

Education & Experience:
Bachelor's degree in business, engineering, venue management, or equivalent experience.

Knowledge:

Comprehensive understanding of industry terminology, event-related services, and technical requirements for anticipated events at the venue.

In-depth knowledge of facility operations, including mechanical equipment such as generators, motors, boilers, chillers, and HVAC systems. Familiarity with electrical systems, lighting fixtures, and electrical components. Proficient in Microsoft Windows operating systems, Microsoft Excel, and Microsoft Word.

Experience in maintaining effective working relationships with clients, employees, exhibitors, patrons, and other entities encountered during employment.


Skills:
Expertise in budget preparation, purchasing procedures, and supervising/training personnel. Excellent communication, problem-solving, and organizational skills. Basic building maintenance skills and/or construction knowledge.

Abilities:
Ability to organize and prioritize tasks to meet deadlines. Work effectively under pressure and stringent schedules to produce accurate results.

Must be flexible to work hours based on events, including days, evenings, weekends, holidays, and additional hours beyond a standard full-time schedule, as needed.

Must maintain a professional demeanor and appearance.
