OVERVIEW :
This role is responsible for overseeing the operations team, which includes the Facilities Manager, Housekeeping personnel, and setup crew. The position involves managing, supporting, and serving as a resource for the daily operational and maintenance requirements of the venue.

Directs and coordinates the activities of operations staff, subcontractors, and daily functions to ensure successful event execution and efficient facility maintenance.


YOUR RESPONSIBILITIES :


Collaborate closely with the general manager to establish and implement operational procedures that align with corporate standards, tailored to the specific needs of the venue, and consistent with the objectives of the client and organization.


Work alongside senior management to devise strategic plans that address client requirements, while also generating innovative ideas to enhance guest services, boost revenue, and reduce operational expenses.


Assist in formulating the annual operating budget for the venue and propose a capital budget for long-term repairs and enhancements.

Supervise subordinate managers and coordinators across various functions.

Responsibilities include:

Conducting interviews, hiring, and training staff; Planning, assigning, and directing tasks; Evaluating performance and collaborating with the general manager and HR to address employee issues and celebrate successes.

Oversee, train, and schedule the workload of the housekeeping team, setup personnel, and maintenance manager, ensuring the venue is clean, organized, and prepared for client arrivals. Assist in managing parking requirements for events, ensuring adequate staffing and arrangements are in place for incoming activities.


Direct, supervise, and provide training for the facilities manager to ensure all operational needs of the venue are met.


This includes, but is not limited to:

Ensuring proper operation and preventive maintenance of the building's HVAC systems; Overseeing the repair and upkeep of the venue's facilities and systems, including doors, carpets, elevators, plumbing, fire suppression, fire alarms, and electrical systems; Providing support to the food and beverage department in maintaining kitchen facilities and equipment; Ensuring event electrical setups, parking requirements, and client requests are fulfilled; Guaranteeing adequate engineering staffing for events.

Lead, with assistance from facilities staff, operational capital improvements. Ensure that annual budgeted projects are completed efficiently and within budgetary constraints. Following procurement processes, authorize the requisition of equipment and supplies in line with budget guidelines.


With support from the facilities and housekeeping supervisor, ensure all housekeeping needs are met, including maintenance and care of the venue, as well as housekeeping support for events and clients.


With assistance from the facilities and setup supervisor, ensure all setup requirements are fulfilled, including the maintenance and care of tables and chairs, and maintaining an adequate inventory of setup items for events.

Investigate, analyze, and resolve operational challenges and complaints. Conduct regular staff meetings to discuss procedures, issues, and policy updates.


Ensure compliance with all laws, codes, ordinances, policies, procedures, risk management guidelines, safety protocols, rules/regulations, and emergency procedures.


ABOUT YOU :

Education & Experience:
Bachelor's degree in business, engineering, venue management, or equivalent experience.

Knowledge:

Comprehensive understanding of industry terminology, event-related services, and technical requirements for anticipated events at the venue.

In-depth knowledge of facility operations, including mechanical equipment such as generators, motors, boilers, chillers, and HVAC systems. Familiarity with electrical systems, lighting fixtures, and electrical components. Proficient in Microsoft Windows operating systems, Microsoft Excel, and Microsoft Word.

Experience in maintaining effective working relationships with clients, employees, exhibitors, patrons, and other stakeholders encountered during employment.


Skills:
Proficient in budget preparation, purchasing procedures, and supervising/training personnel. Excellent communication, problem-solving, and organizational skills. Basic building maintenance and construction skills.

Abilities:
Ability to organize and prioritize tasks to meet deadlines. Work effectively under pressure and stringent schedules to deliver accurate results.

Flexibility to work hours based on events, including days, evenings, weekends, holidays, and additional hours beyond a standard full-time schedule, as necessary.

Must maintain a professional demeanor and appearance.
