We are currently in search of a temporary onsite Human Resources Administrative Coordinator. This role is essential in providing support to TrellisWare and the Human Resources team, aimed at enhancing the overall effectiveness and efficiency of our organization. Fostering unity and maintaining team morale is a shared responsibility among all team members, along with a commitment to personal growth and talent development. Key Responsibilities:

  • Oversee the administration of the front desk and perform general office duties.
  • Provide administrative support utilizing Microsoft Outlook, Word, and Excel.
  • Assist the Human Resources team with various administrative tasks.
  • Collaborate with internal stakeholders to create engaging company newsletters using design tools.
  • Work with the Human Resources team to develop social media content for employee engagement initiatives.
  • Manage the posting and updating of job openings biweekly.
  • Support the planning and execution of employee recognition and celebration events.
  • Order and manage company merchandise while adhering to budgetary constraints.
  • Coordinate philanthropic efforts throughout the year for staff involvement.
  • Maintain the online employee merchandise store and manage inventory.
  • Assist in organizing the company's annual holiday celebration.
  • Handle incoming office calls and direct them appropriately.
  • Welcome and check in visitors, guiding them to the correct personnel or location.
  • Distribute daily mail and assist with onboarding processes for new hires.
  • Administer background checks and complete necessary employment verification forms.
  • Reconcile expense reports for the Facilities and Human Resources teams.
  • Manage meal orders for meetings and deliver to designated locations.
  • Act as a backup for the Human Resources Recruiting Coordinator.
  • Support the interview evaluation process.
  • Assist the Facilities team with supply orders for breakroom and office needs.
  • Maintain organization and stock levels in breakroom and supply areas.
  • Manage employee personnel files with accuracy and confidentiality.
  • Prepare various communications independently.
  • Perform additional tasks as required and foster relationships built on trust and respect.

Qualifications:

  • Bachelor's degree in Business, Communications, Psychology, or a related field with a preferred GPA above 3.0.
  • 0-2 years of experience in an office or human resources environment.
  • Familiarity with software systems; experience with HRIS is a plus.
  • A strong desire to learn and grow within the Human Resources field.

Physical Requirements:

  • Ability to sit, stand, walk, and use hands for extended periods.
  • Regular use of office equipment such as computers and telephones.

  • Specific vision abilities required for this role include close and distance vision.

Additional Information:

  • U.S. Citizenship or Permanent Residency is required.
  • This position requires onsite presence during standard business hours.
