Job Summary

We are seeking an experienced Office Manager/Project Coordinator to join our team in Miami, Florida. This role will be responsible for providing administrative support to our operations team, ensuring the smooth day-to-day functioning of our office, and contributing to the delivery of high-quality projects to our clients.

Key Responsibilities

  • Administrative Support
    • Provide administrative assistance to the operations team, including proofreading, formatting, and editing documents, as well as coordinating communication and tasks between departments.
    • Manage facilities and maintain a safe and efficient work environment.
    • Order supplies and track inventory to ensure timely delivery.
  • Project Coordination
    • Coordinate the preparation and distribution of proposals, reports, and other deliverables to clients.
    • Assist with the onboarding process for new hires and provide support during the transition period.
    • Participate in administrative staff meetings and contribute to the development of office policies and procedures.
  • Office Management
    • Manage contract and price negotiations with office vendors.
    • Assist with new office setups, including renting space, establishing utilities, equipment, and services.
    • Maintain vendor relationships and resolve any issues that may arise.

Requirements

  • Education
    • Bachelor's degree from an accredited four-year college or university in business management or a related field.
  • Experience
    • One to two years of experience in a similar role, or equivalent combination of education and experience.
  • Skills
    • Proficiency with MS Office (Word, Excel, Outlook).
    • Excellent written and verbal communication skills.
    • Excellent spelling, grammar, and proof-reading skills.
    • Presents in a professional manner at all times.
    • Self-starter with strong multi-tasking and follow-up skills.
    • Ability to prioritize and manage multiple tasks simultaneously.
    • Good time management skills and proactive approach.
    • Strong attention to detail while maintaining consistent work-flow and meeting deadlines.
    • Ability to work independently as well as part of a team.
