Office Manager/Project Coordinator

We are a dynamic and growing engineering/architectural firm with a strong commitment to delivering exceptional customer service to our diverse client base. With multiple offices across the East Coast, we are rapidly expanding and seeking a highly organized and detail-oriented Office Manager/Project Administrator to join our team.
Job SummaryWe are seeking an energetic and motivated Office Manager/Project Administrator to support our Company operations and ensure the smooth day-to-day functioning of our office. The successful candidate will be responsible for sending proposals, reports, and other deliverables to clients, as well as coordinating communication and tasks between various departments.
Key Responsibilities:- Proofread, format, and edit letters, reports, and correspondence from draft stage to client-ready work.
- Answer and screen telephone calls in a professional and timely manner, taking accurate messages and arranging conference calls.
- Meet and greet visitors, showing them to the conference room as needed, and distribute packages, prepare overnight packages, and occasionally deliver to the post office or FedEx.
- Coordinate communication and tasks between departments to ensure timely delivery of all deliverables.
- Work with Executives on receivables and client project maintenance for billing and account accuracy.
- Participate in administrative staff meetings and perform other related duties as assigned.
- Bachelor's degree from an accredited four-year college or university in business management or a related field.
- One to two years of experience, or equivalent combination of education and experience.
- Valid United States Driver's License required, as this position may require travel to the post office and/or FedEx.
- Proficiency with MS Office (Word, Excel, Outlook).
- Excellent written and verbal communication skills, with excellent spelling, grammar, and proof-reading skills.
- Presents in a professional manner at all times, with a self-starter attitude, strong multi-tasking and follow-up skills, and ability to prioritize and manage time effectively.
- Ability to work independently as well as part of a team, with excellent customer service skills to represent the organization with clients, affiliates, and outside agencies.
