Job Summary

The Finance Operations Administrator provides critical support to the Finance Department, ensuring the smooth operation of various activities and programs at Charter Schools USA. This role is responsible for monitoring, managing, and coordinating tasks related to Accounts Payable, Corporate Credit Cards, and Corporate Travel and Expense reporting.

Key Responsibilities
  • Administrative support for the Corporate Credit Card program, including application processing and vendor setup
  • Responsible for business filings for over 200 entities, ensuring compliance and accuracy
  • Manage vendor relationships, sales tax exemptions, and corporate travel profiles
  • Assist with monthly reporting of credit card activity and reconciliation of corporate travel
  • Provide backup support for the monthly audit of employee travel profiles
Essential Duties and Responsibilities
  • Support the development and implementation of travel and expense policies and procedures
  • Provide exceptional customer service to employees regarding travel and corporate credit card concerns
  • Onboard new employees with the travel booking platform and travel program initiatives
  • Serve as a liaison between internal customers and third-party service providers to ensure high-quality services
  • Review and approve travel profile requests, assist with airline rewards reporting, and resolve fraud cases
  • Assist with various improvement projects and manage projects, track status, and coordinate testing efforts
  • Provide administrative support to the Director and participate in special projects as needed
Requirements
  • Bachelor's degree in a business-related field
  • 2+ years of related work experience, with project management experience preferred
  • Proficient user of computer systems, with the ability to utilize MS software applications in a Windows environment
  • Experience with advanced Excel functions and NetSuite
  • Ability to create materials, provide presentations, and effectively communicate with all levels within the organization
  • Confidentiality and ability to work in a customer-focused manner
