Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Precision Home Development Inc. as a Receptionist.

Key Responsibilities
  • Provide administrative support to the Director of Operations and Accountant, ensuring seamless day-to-day operations.
  • Prepare and disseminate correspondence and documents in a timely and professional manner.
  • Operate office equipment, including personal computers, calculators, and copiers, with precision and efficiency.
  • Make phone calls to sub-contractors and vendors, maintaining a professional and courteous demeanor.
  • Confirm appointments and interviews as scheduled, ensuring timely and accurate communication.
  • Create and maintain project files, tracking ongoing projects with accuracy and attention to detail.
  • Order materials for jobs, ensuring timely delivery and minimizing delays.
  • Maintain and update the company calendar, ensuring all appointments and events are accurately recorded.
  • Maintain a clean and organized office environment, adhering to company standards.
  • Perform other duties as assigned by management, demonstrating flexibility and a willingness to adapt to changing priorities.
Requirements
  • At least 2 years of experience in customer service, receptionist, or other administrative roles.
  • Proficiency in QuickBooks, Google Docs, spreadsheets, and Outlook.
  • Experience with ADP is a plus.
  • Strong customer service experience, with a focus on providing exceptional service to clients and colleagues alike.
  • Ability to prioritize and multitask, managing multiple projects and deadlines with ease.
  • Positive and professional demeanor and appearance, with a strong emphasis on maintaining a clean and organized workspace.
  • Excellent written and verbal communication skills, with the ability to effectively communicate with colleagues, clients, and vendors.
  • Bilingual - Fluent in Spanish required.
  • Professional and courteous phone etiquette, with a focus on providing exceptional customer service.
  • Organized, punctual, detail-oriented, and able to meet designated deadlines, with a strong emphasis on time management and productivity.
  • Able to work independently, as a self-starter, and in a fast-paced environment, with a focus on adaptability and flexibility.
  • Construction background is a plus.
  • Must have reliable transportation to work.
