Key Responsibilities:
- Provide administrative support to the Director of Operations and Accountant, ensuring seamless day-to-day operations.
- Prepare and maintain correspondence, documents, and project files with accuracy and attention to detail.
- Operate office equipment, including personal computers, calculators, and copiers, to maintain a productive work environment.
- Make phone calls to sub-contractors and vendors to facilitate communication and coordination.
- Confirm appointments and interviews as scheduled, ensuring timely and efficient use of time.
- Track ongoing projects, maintain project files, and order materials as needed to support job completion.
- Maintain and update the company calendar to ensure accurate scheduling and coordination.
- Ensure a clean and organized office environment, adhering to company standards.
- Perform other duties as assigned by management to support the team's goals and objectives.
Requirements:
- At least 2 years of experience in customer service, administration, or a related field.
- Proficiency in QuickBooks, Google Docs, spreadsheets, and Outlook.
- Experience with ADP is a plus.
- Strong customer service skills, with the ability to prioritize and multitask.
- Positive and professional demeanor, with excellent written and verbal communication skills.
- Bilingual - Fluent in Spanish required.
- Professional and courteous phone etiquette.
- Organized, punctual, detail-oriented, and able to meet designated deadlines.
- Able to work independently, as a self-starter, and in a fast-paced environment.
- Reliable transportation to work is a must.
