Role Overview

The Accounts Receivable Coordinator plays a crucial role in delivering outstanding service and supporting our mission to protect businesses, individuals, and valuable time. This position will work closely with the Customer Relations team to address overdue accounts, facilitate payment resolutions, and manage communications related to collection matters, ensuring accurate and timely daily cash applications. The Accounts Receivable Coordinator is essential in fostering collaboration across all organizational levels to meet departmental and company objectives.

  • Ensure timely and precise application of daily cash.
  • Analyze customer receivables and manage payment resolutions.
  • Engage with internal and external clients regarding collection inquiries.
  • Collaborate with the Customer Relations team to complete tasks efficiently.
  • Work to minimize delinquency for assigned accounts to meet company targets.
  • Lead discussions on invoice disputes with customers and relevant teams.
  • Involve management when necessary to expedite the collection process.
  • Follow established procedures to communicate and collaborate with staff at all levels.
  • Build and maintain effective working relationships with clients.
  • Conduct training sessions as needed.
  • Perform additional duties and special projects as assigned.

Qualifications

  • Associate's degree or equivalent experience in Government Contracts preferred.
  • 3-5 years of experience in Accounts Receivable or Accounts Payable.
  • Assist in optimizing financial transactions and systems through reconciliation of payments and customer accounts.
  • Identify discrepancies and communicate them to management, while recommending collection candidates.
  • Enhance client relationships by engaging with customers regarding overdue accounts.
  • Streamline the accounts receivable process by pinpointing areas for improvement.
  • Maintain integrity and confidentiality in financial reporting, adhering to all financial regulations.
  • Verify work orders for appropriate documentation prior to billing.
  • Keep accounts receivable records updated, ensuring aging is current and uncollectible amounts are addressed.
  • Handle daily cash management tasks, including bank deposits and cash receipt logs.
  • Monitor and collect accounts receivable through various communication methods.
  • Prepare analytical reports to assist management in understanding collection progress.
  • Support other accounting and finance team members as needed.
  • Exhibit strong customer service and mathematical skills.
  • Possess basic knowledge of accounting principles and terminology.
  • Demonstrate excellent verbal and written communication abilities.
  • Maintain a strong focus on accuracy and organization.
  • Exhibit critical thinking and an assertive personality.
  • Proficient in Microsoft Office Suite, particularly Excel and Word.
  • Experience with Microsoft Great Plains and Salesforce software is preferred.

Compensation: $45K-50K
