POSITION SUMMARY:

The Accounts Payable Specialist plays a crucial role in ensuring the accurate and timely management of invoices and expenditures for the organization.

KEY RESPONSIBILITIES:

  1. Review and validate invoices for correctness, authenticity, and completeness.
  2. Prepare and submit invoices for payment authorization.
  3. Establish and maintain workflows essential for efficient invoice processing.
  4. Conduct weekly check runs, including report generation, data entry, and additional scanning tasks.
  5. Manage utility statements for payment, track usage, and address any related inquiries.
  6. Gather, assess, and process credit card receipts for payment.
  7. Ensure timely processing of invoices in compliance with organizational and regulatory standards.
  8. Collaborate with vendors to resolve inquiries, updates, or discrepancies.
  9. Reconcile monthly statements and transactions for vendor accounts.
  10. Assist with year-end financial closing and reporting activities.
  11. Maintain organized and accurate records of all accounts payable transactions.
  12. Undertake additional duties and special projects as required.

WORK ENVIRONMENT:

This role is primarily office-based, involving desk work with computer and phone usage. The noise level is generally moderate, with potential exposure to higher noise levels due to various operational activities.

PHYSICAL DEMANDS:

The position requires effective communication skills, including the ability to hear and respond to inquiries. Manual dexterity is necessary for operating office equipment and managing files.

WORK ACTIVITIES:

Responsibilities include processing invoices through review, verification, sorting, coding, and system entry. Payment processing involves executing check runs and recording transactions. Vendor management includes monitoring accounts for timely payments, reconciling statements, and maintaining vendor documentation. Additional special projects may be assigned as needed.

EDUCATION AND EXPERIENCE REQUIREMENTS:

Formal Education: High School Diploma or equivalent.

Work Experience: 1-2 years in accounts payable or a related accounting position.

Certifications:

  • Valid Washington state driver's license (must be insurable).

SKILLS:

  • Basic accounting knowledge.
  • Detail-oriented and highly organized.
  • Strong proficiency in computer and data entry skills.
  • Proficient in Microsoft Office applications, particularly Excel.
  • Excellent communication and interpersonal abilities.
  • Experience with accounting software (e.g., QuickBooks, SAP).
