Key Responsibilities:

  • Efficiently manage order entry and processing.
  • Coordinate various projects and tasks to ensure timely completion.
  • Provide essential administrative support, including data entry, filing, and record maintenance.
  • Assist in the management of office supplies and inventory.
  • Communicate effectively with team members and external partners.
  • Utilize internal software for financial transactions and record-keeping.
  • Review Purchase Orders to ensure compliance with terms and conditions.
  • Collaborate with sales and vendors to enhance profit margins.
  • Explore alternative methods to deliver projects on time and within budget.
  • Coordinate documentation requirements with project teams.
  • Oversee delivery schedules, product quality, and information updates.
  • Maintain professionalism in all interactions.
  • Support the team with clerical tasks as needed.
  • Perform other duties as assigned.

Reporting Structure:

Reports to: Profit Center Manager

Minimum Qualifications:

  • Associate's or Bachelor's Degree in a related field or equivalent experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Fluency in English, both written and verbal.
  • Basic knowledge of bookkeeping.

Additional Competencies:

  • Strong attention to detail and time management skills.

Preferred Qualifications:

  • Experience in customer service or sales.
  • Understanding of general accounting principles.
  • Familiarity with processes related to receiving, selecting, packing, and shipping.

Working Conditions:

  • This position does not offer remote work.
  • Office activities may involve extended periods of sitting.
  • Conditions may vary daily, including warehouse, office, and on-site activities.

Supervisory Responsibilities: None

Essential Job Functions:

  • Assist with Accounts Receivable/Billing tasks.
  • Answer phones and direct calls appropriately.
  • Cover the front desk and assist customers and visitors as necessary.
  • Process daily sales registers and ensure accuracy.
  • File and maintain records in designated files.
  • Help process customer payments, including credit card and cash/check transactions.
  • Resolve billing issues with sales and customers.
  • Address customer EDI issues on a daily basis.
  • Assist with Accounts Payable tasks.
  • Review new vendor invoices for accuracy and prepare for processing.
  • Check costing on special-order sales registers.
  • Manage billing for direct shipments to customers.
  • Research vendor statements and request copies of missing invoices.
  • Operate a light van for customer order deliveries.
  • Utilize warehouse equipment as needed.

Compensation:

The compensation range for this position is $23.89 to $27.68 hourly.
