Role Summary:

We are in search of a meticulous and proactive Operations and Customer Support Coordinator. This role is essential for ensuring the smooth operation of our daily activities and enhancing the experience of both internal and external stakeholders.

Key Responsibilities:

  • Efficiently manage order entry and processing.
  • Coordinate various projects and tasks to guarantee timely execution.
  • Provide comprehensive administrative support, including data entry, filing, and record maintenance.
  • Assist in the management of office supplies and inventory levels.
  • Facilitate effective communication with team members and external partners.
  • Utilize internal software for financial transactions and accurate record-keeping.
  • Review Purchase Orders to ensure compliance with terms and conditions.
  • Collaborate with sales and vendors to maximize profit margins.
  • Identify and implement alternative methods to deliver projects on schedule and within budget.
  • Coordinate documentation requirements with project teams, including manuals and insurance certificates.
  • Oversee delivery schedules, product quality, and timely information updates.
  • Maintain professionalism in all interactions.
  • Support the team with various clerical tasks as needed.
  • Perform additional duties as assigned.

Reporting Structure:

This position reports directly to the Profit Center Manager.

Qualifications:

  • Associate's or Bachelor's Degree in a relevant field or equivalent experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Fluency in English, both written and verbal.
  • Basic knowledge of bookkeeping principles.

Preferred Skills:

  • Experience in customer service or sales.
  • Understanding of general accounting principles.
  • Familiarity with processes related to receiving, selecting, packing, and shipping.

Working Conditions:

  • This position does not offer remote work options.
  • Office duties may require extended periods of sitting.
  • Work environments may vary, including office, warehouse, and on-site locations.

Supervisory Responsibilities: None

Essential Functions:

  • Assist with Accounts Receivable and Billing tasks.
  • Manage front desk operations and assist customers as needed.
  • Process daily sales registers and ensure accuracy.
  • Maintain organized filing systems.
  • Facilitate customer payments and resolve billing inquiries.
  • Handle vendor invoices and ensure timely processing.
  • Research vendor statements and address discrepancies.
  • Operate delivery vehicles and warehouse equipment as required.

Compensation and Benefits:

The compensation range for this position is $23.89 to $27.68 hourly, with additional profit-sharing opportunities. Benefits include medical, dental, and vision insurance, long-term disability insurance, life insurance, a 401(k) plan, paid sick leave, holidays, vacation, and parental leave.
