Administrative Assistant

The role of the Administrative Assistant is vital in ensuring smooth office operations and supporting staff activities through various secretarial tasks. This position involves maintaining organized files, creating documents, and executing other clerical responsibilities as needed.
Key Responsibilities and Expectations

- Design and manage forms to collect and maintain insurance information for all clients.
- Assist clinical personnel by scheduling appointments, managing client records, verifying information, and performing additional tasks as required.
- Provide client support by reviewing forms, offering guidance, and addressing inquiries regarding accounts and available resources.
- Handle incoming correspondence by receiving, opening, date-stamping, and distributing mail. Prepare outgoing mail for dispatch.
- Maintain a tidy office environment by minimizing clutter and performing routine cleaning tasks.
- Support office staff by executing secretarial duties, responding to phone calls, addressing routine inquiries, managing complaints, routing calls, and taking messages.
- Utilize computer software to type and create correspondence, memos, reports, forms, schedules, and other documents. Prepare various reports as directed, ensuring accuracy through proofreading.
- Establish rapport with clients while maintaining professional boundaries and focusing on effective solutions to concerns.
- Assist clinical staff with scheduling and managing appointments, as well as inputting client admissions, transfers, and discharges into the electronic health record system.
- Maintain a basic understanding of agency operations and detailed knowledge of specific programs.
- Manage voice mail messages and notify management of employee absences.
- Organize documents by maintaining an efficient filing system and keeping accurate records.
- Uphold confidentiality regarding client records and sensitive information.
- Adhere to the assigned work schedule, demonstrating regular attendance and willingness to work overtime as necessary.
Additional Duties
Perform other clerical tasks as requested by administrative personnel.
Supervision
This position does not involve supervisory responsibilities.
Equipment Utilized
Proficient use of computers, electronic health records systems, telephones, fax machines, copiers, and other standard office equipment.
Interactions
Engage with clients and the general public.
Confidentiality
Adhere to confidentiality policies, ensuring that any client information obtained during the course of work is not disclosed to unauthorized parties.
Work Environment
This position typically operates in a standard office setting. Verbal de-escalation skills may be necessary when interacting with clients.

- Frequently sit for extended periods, with occasional standing and walking.

- Vision requirements include close, detailed vision for computer work.
- Occasionally lift weights up to 25 pounds when handling files or supplies.
Required Knowledge, Skills, and Abilities
Knowledge of: standard office practices and procedures; secretarial science; English language usage; basic bookkeeping principles; computer software applications.
Ability to: understand and follow instructions; develop effective working relationships; maintain confidentiality; work independently; coordinate multiple tasks; and perform detailed work with numerical data.
Skills in: verbal and written communication; operating office equipment; using job-related software; organizing documents; and providing customer service.
Qualifications
An appropriate combination of education, training, and experience may qualify an applicant for this position. A typical qualification includes a High School Diploma or GED (technical or vocational training preferred) with 1 to 3 years of secretarial experience.
Licensure or Certification Requirements
A valid State Motor Vehicle Operator's License or reliable means of transportation is required.
