Position Overview

The Executive Administrative Coordinator plays a pivotal role in supporting the Vice President for Student Affairs and Dean of Students by managing a variety of executive, administrative, and operational tasks. This position is essential for the effective delivery of services to students and requires a high level of discretion and confidentiality.

Key Responsibilities
  • Oversee the operations of the Vice President's office to maximize productivity and efficiency while maintaining confidentiality.
  • Organize office activities and manage the scheduling of meetings.
  • Procure necessary materials and supplies for the office.
  • Address initial inquiries and concerns from students, staff, and community members.
  • Serve as a communication liaison among all college stakeholders.
  • Ensure compliance with records retention policies and manage the Vice President's office budget.
  • Provide comprehensive administrative support, including monitoring activities and coordinating communications.
  • Prepare and maintain distribution lists and assist in the creation of monthly reports.
  • Attend meetings, documenting and distributing minutes as required.
  • Coordinate travel arrangements and manage reimbursements for the Vice President.
  • Manage the Vice President's calendar and appointment scheduling.
  • Assist in organizing events, communications, and presentations.
  • Support graduation planning in collaboration with the Records office.
  • Draft written, oral, and electronic communications on behalf of the Vice President.
  • Monitor activities assigned by the Vice President to ensure timely completion.
  • Act as the primary point of contact for the Vice President's office.
  • Facilitate communication with various community groups, students, and service agencies.
  • Exercise creative authority in the preparation of written documents and presentation materials.
  • Plan and execute special events as needed.
  • Contribute to initiatives focused on student success and customer service standards.
  • Serve as a liaison within the internal college community and with external stakeholders.
  • Provide administrative support for committees and teams led by the Vice President.
  • Offer backup support to deans and directors within the Student Affairs division.
  • Assist in the Strategic Enrollment Management Planning process.
  • Perform additional duties as assigned by the Vice President.
Qualifications

Applicants should possess a Bachelor's degree from an accredited institution and a minimum of three years of relevant administrative experience. Candidates must demonstrate the ability to:

  • Identify and resolve administrative challenges effectively.
  • Execute complex administrative tasks with minimal supervision.
  • Analyze and present data clearly and concisely.
  • Prepare comprehensive reports and documentation.
  • Interpret and ensure adherence to organizational policies.
  • Thrive in a dynamic, fast-paced environment while managing multiple priorities.
