Palmer Staffing Services is looking for a skilled Human Resources and Office Management Specialist to enhance our team. This role will be integral in supporting our office operations and managing HR functions for a dynamic legal environment.

Status: In office

Salary: Up to 100K DOE

Key Responsibilities:

Human Resources Management

  • Recruit, onboard, and supervise administrative personnel.
  • Oversee the onboarding process, including documentation, IT setup, and benefits enrollment.
  • Manage benefits cancellations and provide necessary notices for departing employees.
  • Document and address personnel matters and actions.
  • Review leave requests and monitor attendance records.
  • Ensure adequate staffing coverage and manage workload distribution.
  • Review and approve timesheets for non-exempt staff and manage payroll submissions.
  • Administer the 401(K) plan, ensuring compliance and managing annual reporting.
  • Coordinate employee benefits renewals and open enrollment periods.
  • Prepare documentation for annual workers' compensation audits.
  • Conduct annual salary assessments and bonus evaluations.
  • Develop and enforce office policies and procedures.

Office Operations Management

  • Manage the procurement, leasing, and maintenance of office equipment.
  • Monitor inventory levels of supplies and equipment.
  • Negotiate contracts with external vendors.
  • Act as the primary contact for building management and maintenance issues.
  • Coordinate off-site storage logistics and retrievals.
  • Ensure timely renewal of insurance policies and manage claims notifications.
  • Facilitate inter-office relocations and renovations.
  • Oversee IT vendor operations, including software upgrades and support.
  • Review and address helpdesk support inquiries.
  • Organize and streamline office functions.

Intake and Case Management

  • Evaluate incoming inquiries to determine urgency and prioritize actions.
  • Utilize case management software to generate reports and respond to requests.
  • Compile monthly reports on intake and case resolutions.
  • Ensure accurate documentation of closed cases and related correspondence.
  • Monitor and manage the statute of limitations reports.
  • Prepare semi-monthly reports on active cases for internal distribution.

Financial Tracking and Reporting

  • Generate monthly reports on write-offs and process accordingly.
  • Close cases in both case management and accounting systems.
  • Monitor and report on capitalized case costs.
  • Prepare sales and use tax reports for compliance.

Qualifications:

  • Minimum of 3 years of HR experience in a legal setting.
  • Experience with sales and use tax is preferred.
  • Ability to manage multiple tasks effectively.
