Job Summary

We are seeking an experienced Administrative Associate III to join our team at Montana Tech. This role will be responsible for providing administrative support to three departments, handling day-to-day operations, and ensuring the smooth functioning of our office.

Key Responsibilities
  • Provide administrative support to three departments, including answering phone calls, maintaining calendars, and responding to emails.
  • Manage budgets, liaise with students, staff, faculty, and off-campus vendors, and supervise a student employee.
  • Gather and archive program review and departmental operations documents, assist faculty with meeting support, and distribute alternative pins to students.
  • Prepare periodic reports, train newly hired administrative associates, schedule travel for faculty, and prepare travel expense reports.
  • Design and produce promotional materials, maintain campus job bulletin boards, assist with course scheduling and textbook ordering, and serve as a point of contact for dual enrollment instructors.
  • Ensure departmental web pages are current, assist with proctoring exams and course evaluations, maintain an inventory of supplies, and prepare and submit purchasing forms.
  • Coordinate communications, travel arrangements, and schedules for departmental searches.
Requirements
  • Associate degree
  • Minimum of one year of office administration experience
  • Proficient in using Microsoft Office Suite, including Outlook
  • Strong written and verbal communication skills
  • Ability to multitask, organize, meet deadlines, and attend to detail
  • Ability to work cooperatively and interact positively with individuals from a variety of backgrounds
Preferred Qualifications
  • Experience using Banner, Moodle, MUS Data Warehouse, and Secretaries Database
  • Experienced in using Zoom & OneDrive
  • Experience using Canva or Adobe Creative Suite applications
  • Experience with designing and producing flyers and other promotional materials
  • Experience with supervising employees
