The Administrative Associate III is a key member of the Montana Technological University team, responsible for providing administrative support to multiple departments. This role requires a high level of organization, communication, and technical skills to manage day-to-day operations, coordinate events, and maintain accurate records.
Key Responsibilities- Manage Microsoft Outlook calendars, respond to emails, and direct phone calls
- Coordinate travel arrangements, prepare travel expense reports, and arrange functions with complex details
- Design and produce promotional materials, maintain campus job bulletin boards, and assist with course scheduling and textbook ordering
- Serve as a point of contact for dual enrollment instructors, ensure instructors follow hiring procedures, and maintain departmental web pages
- Proctor exams and course evaluations, maintain an inventory of supplies, and prepare purchasing forms
- Coordinate communications, travel arrangements, and schedules for departmental searches
This position requires extensive use of common office software, including Microsoft Office Suite, Zoom, and OneDrive, as well as campus software and databases. The successful candidate will be flexible in their work hours, with the ability to work up to 40 hours per week and up to half of those hours remotely.
