Key Responsibilities- Provide administrative support to three departments, including answering phone calls, maintaining calendars, and performing various administrative tasks.
- Handle day-to-day operations, including creating and maintaining filing systems, making photocopies, sending and collecting mail, and managing budgets.
- Liaise with students, staff, faculty, and off-campus vendors to ensure smooth operations.
- Assist faculty with support for meetings, including disseminating meeting agendas, acting as recording secretary, and compiling and archiving meeting minutes.
- Distribute alternative pins to students, prepare periodic reports, train newly hired administrative associates, and schedule travel for faculty.
- Design and produce promotional materials to advertise departmental information, maintain campus job bulletin boards, and assist with course scheduling and textbook ordering.
- Serve as a point of contact for dual enrollment instructors affiliated with Montana Tech, assist with ensuring that instructors have followed hiring procedures, and ensure that departmental web pages are kept current.
- Assist with proctoring exams and course evaluations, maintain an inventory of supplies, and prepare and submit purchasing forms.
- Maintain mailing lists and coordinate mass mailings, arrange key authorizations, and coordinate communications, travel arrangements, and schedules for departmental searches.
- Associate degree
- Minimum of one year of office administration experience
- Proficient in using Microsoft Office Suite, including Outlook
- Strong written and verbal communication skills
- Ability to multitask, organize, meet deadlines, and attend to detail
- Ability to work cooperatively and interact positively with individuals from a variety of backgrounds
- Experience using Banner, Moodle, MUS Data Warehouse, and Secretaries Database
- Experienced in using Zoom & OneDrive
- Experience using Canva or Adobe Creative Suite applications
- Experience with designing and producing flyers and other promotional materials
- Experience with supervising employees
