Job Overview

Pro Mach is looking for a dedicated individual to enhance our operations by serving as a key contact for processing sales orders, managing shipments, and facilitating customer communication throughout the sales journey. The Customer Service Representative will play a crucial role in assisting our Engineering and Sales teams with the production, testing, and dispatch of sample handles. This position reports directly to the Controller and collaborates closely with Sales, Marketing, Engineering, and Assembly teams. Minimal travel is anticipated.

Key Responsibilities

  • Oversee the sales process from order receipt to product shipment, coordinating with Production, Quality, and Finance to ensure timely order fulfillment.
  • Manage inside sales activities, including the distribution of sales information and samples, as well as the manufacturing of samples.
  • Receive and evaluate samples from customers, collaborating with engineering to assess product compatibility.
  • Handle spare parts sales from quotation through to shipment.
  • Gather service trip details and prepare invoices for customer billing.
  • Work alongside technicians to provide service trip quotes for customers.
  • Facilitate the onboarding of new customers.
  • Assist the aftermarket department in identifying worn or damaged parts and participate in customer visits to our facility.
  • Communicate with customer maintenance teams to resolve technical issues related to equipment and aftermarket parts, coordinating the assembly of shipments as necessary.
  • Collaborate with Quality and customers to manage product returns.
  • Act as the front desk representative, managing phone calls and greeting visitors.
  • Maintain regular communication with customers to ensure their needs are met.
  • Analyze inquiries to identify product issues and weaknesses.

Qualifications

  • High school diploma or equivalent; a college degree is preferred.
  • 3-5 years of experience in customer service, with a focus on both inside and outside sales; manufacturing experience is advantageous.
  • Familiarity with manufacturing ERP systems is preferred.
  • Meticulous attention to detail and accuracy.
  • Exceptional communication, negotiation, and persuasion skills, with the ability to interact effectively at all organizational levels.
  • A strong desire for personal growth while contributing to company profitability.
  • Demonstrated leadership capabilities.
  • Self-motivated, energetic, and personable demeanor.
  • Flexible and committed to completing tasks efficiently.
  • Strong analytical skills with the ability to solve practical problems and adapt to changing situations under pressure.
  • Proficient in Word, Excel, and Outlook, along with strong mathematical skills.
