Corporate Services & Travel Operations Manager

A prominent global investment firm is seeking a Corporate Services Operations Manager to lead the travel and expense management team. This position is pivotal in overseeing corporate services functions, including vendor management and travel/expense oversight. The successful candidate will ensure that operations are efficient and cost-effective while upholding high service delivery standards and compliance with corporate policies.

The ideal applicant will possess substantial experience in travel and expense management, demonstrating creativity in problem-solving and meticulous attention to detail. This role necessitates direct management experience and effective communication with global vendors.

Compensation: Salary is competitive and commensurate with experience, ranging from $145,000 to $165,000 base, along with a discretionary bonus and a comprehensive benefits package that includes fully covered health benefits, 401k, and paid time off.

Key Responsibilities:

  • Manage and cultivate relationships with corporate services vendors, encompassing travel, expense management, office supplies, and shipping.
  • Negotiate contracts for services and products, ensuring cost efficiency.
  • Oversee vendor performance, compliance with contracts, and enhancements to service models.
  • Evaluate and recommend new vendors while identifying opportunities for cost reduction and process optimization.
  • Directly supervise a small team of up to 2 members.
  • Act as the primary escalation point for internal clients regarding travel and expense-related issues.
  • Ensure the effective execution of the firm's Travel and Expense Management program, securing optimal rates and service levels.
  • Maintain and oversee the firmwide expense management systems and corporate credit card programs.
  • Develop, implement, and enforce compliance with corporate policies and procedures, conducting regular audits of travel and expense reports.
  • Utilize data insights to inform broader business decisions and identify trends.
  • Align the Corporate Services budget with firm-wide cost-saving initiatives.
  • Enhance transparency in spending across the global corporate services framework.
  • Create and maintain documentation for all audit controls, reporting processes, and policies, ensuring a well-organized filing system for presentations.

Qualifications:

  • Bachelor's degree in Finance, Accounting, Business Administration, Data Analytics, or a related field.
  • Demonstrated experience in team management is essential.
  • A minimum of 3-5 years of experience in travel management, expense reporting, data analysis, or similar roles.
  • Certification in travel management (e.g., Certified Corporate Travel Executive - CCTE) is preferred but not mandatory.
  • Familiarity with travel and expense management systems such as Concur or Oversight is advantageous.
  • Proficient in MS Outlook, Excel, Word, and PowerPoint.
  • Experience with data analysis tools and methodologies.
  • Strong communication skills for effective interaction with colleagues and vendors globally.
