Position Overview

The Administrative Coordinator and Financial Specialist will extend support across all OVG departments within the venue, collaborating closely with the General Manager, Event Services Manager, and Director of Finance. Responsibilities for this role encompass, but are not limited to, assisting both part-time and full-time personnel with timekeeping and payroll-related tasks, processing and entering accounts payable, accounts receivable, and cash transactions, as well as front office responsibilities such as managing daily correspondence, ordering supplies, handling phone inquiries, and assisting guests.

This position offers an hourly compensation ranging from $20.20 to $22.60.

About the Venue

Chartway Arena is a versatile 9,100-seat facility situated on the campus of Old Dominion University. Managed by OVG360 since its inception in 2002, Chartway Arena is celebrated as one of the leading mid-sized collegiate venues in the nation. It serves as the home for Old Dominion Monarch Men's and Women's basketball, in addition to hosting concerts, family entertainment, and various attractions for the local community.

Key Responsibilities

  • Provide comprehensive office and clerical support, including but not limited to filing, copying, handling telephone inquiries, and processing daily mail.
  • Maintain office equipment and supplies for all departments efficiently.
  • Supervise part-time reception staff and oversee all aspects of front desk operations.
  • Assist new hires with the onboarding process and conduct background checks.
  • Manage and update the ADP eTime system, including timecards and event coding.
  • Oversee the execution of background checks and pre-employment drug screenings.
  • Process and prepare accounts payable invoices and payments promptly.
  • Address any vendor-related issues or outstanding invoices in a timely manner.
  • Prepare and distribute accounts payable checks weekly or as required.
  • Handle all cash receipts, including daily box office deposits.
  • Communicate any accounting, HR, employee relations, safety, policy, or procedural concerns to the Director of Finance or General Manager responsibly.
  • Perform any additional duties as assigned.

Required Qualifications

  • Minimum of three years of experience in general accounting/bookkeeping, with supervisory experience preferred.
  • A Bachelor's Degree from an accredited institution with a focus on accounting.
  • Ability to successfully complete an accounting skills assessment.
  • Commitment to the highest standards of ethics, integrity, professionalism, and discretion.
  • Proficient communication skills in English, both written and verbal.
  • Proven ability to collaborate effectively as part of a team and engage with all levels of management.
  • Strong customer service orientation, organizational, and interpersonal skills.
  • Keen attention to detail and accuracy.
  • Ability to prioritize tasks and meet deadlines within limited timeframes.
  • Familiarity with generally accepted accounting principles and practices.
  • Proficient in computer applications and programs necessary for accounting functions.
  • Experience with Sage 100, ADP Enterprise, and eTime Software is advantageous.
  • Proficient in Microsoft Word, Excel, and Outlook.
