Overview
The Events Manager plays a pivotal role in ensuring that all events at Newfields are executed seamlessly and reflect the institution's mission and values. This position involves close collaboration with the Assistant Director of Events to manage both internal and external events from initial inquiry through to successful execution.
Primary Responsibilities
The following responsibilities outline the essential functions of this role:
- Daily Operations: Maintain event scheduling software to create event orders and serve as the primary contact for staff inquiries and support.
- Lead Management: Oversee all internal event leads and maintain an organized events calendar, ensuring accurate financial tracking for each account.
- Financial Coordination: Act as the liaison between the events team and finance, managing purchase orders and ensuring timely processing of event-related invoices.
- Event Execution: Provide guidance to the coordination team and oversee day-of event logistics, ensuring workflows are efficient and effective.
- Vendor Relations: Serve as the main contact for catering inquiries and manage relationships with external vendors.
- Sales and Marketing: Identify opportunities for additional revenue through secured accounts and assist in generating event contracts.

Education and Experience
Preferred qualifications include:
- A minimum of 3 years in customer service and event operations.
- Experience in the non-profit sector is advantageous.
- A BA/BS degree is preferred.
Physical Demands
This role may require occasional standing, walking, and lifting of up to 25 pounds. Vision requirements include the ability to see close and distant objects clearly.
Work Environment
The work environment is typically moderate in noise level, conducive to a productive atmosphere.
