Mailroom Operations Specialist

The Mailroom Operations Specialist plays a crucial role in ensuring the seamless functioning of the mailroom. This position encompasses a variety of office tasks and specific projects related to departmental needs.
Key ResponsibilitiesPrimary Duties Include:
- Receiving, sorting, and distributing all incoming mail and packages in accordance with established timelines and service standards.
- Coordinating delivery services and managing messenger operations.
- Responding to inquiries via phone and in-person.
- Executing general administrative tasks such as ordering supplies, making service calls for equipment, maintaining files, and photocopying.
- Delivering exceptional customer service by addressing mailing and shipping requirements effectively.
- Processing incoming and outgoing packages through various carriers, including USPS, UPS, DHL, and FedEx, utilizing postage meters and scales.
- Entering sender and recipient information into relevant shipping systems.
- Affixing postage and shipping labels to outgoing mail and maintaining accurate records of postage and shipments.
- Ensuring timely dispatch of all shipments and mailings on a daily basis.
- Tracking shipments using various software applications.
- Maintaining accountability through an internal package tracking system, including obtaining customer signatures for received items.
- Organizing and managing mail, packages, and parcels for efficient retrieval.
- Inspecting mail and packages for damage and reporting issues to the Supervisor.
- Assisting with the assembly of general mailings or projects, including photocopying, scanning, folding, stuffing, and addressing.
- Upholding confidentiality regarding company and customer information.
- Performing additional duties as required, including covering for other administrative functions.
Minimum Requirements:
- Strong organizational skills.
- Effective verbal and written communication abilities.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, and Word.
- Ability to maintain high productivity levels while ensuring confidentiality and professionalism.
- Excellent problem-solving skills and attention to detail.
- Team-oriented mindset.
- Strong time management skills and self-motivation; prior mailroom experience is advantageous.
- Capability to follow directions and perform well under pressure.
- High school diploma or equivalent is preferred.
This role may involve sitting, standing, walking, bending, twisting, and reaching. The ability to lift up to 30 pounds occasionally is required.
